Booking Guidelines

Your booking with Lightfoot Adventures is confirmed with us at time of purchase/ payment of deposit and following receipt of our confirmation email.

A booking is only considered complete and confirmed when;

FULL payment has been received. Full payment is required four weeks before the start date of the event/course. 

Medical Declaration, Informed Consent and Booking Conditions have been signed and returned.

Confirmation Procedure

Following initial and final payment you will be sent a confirmation email detailing any further steps needed by you and full event information.

Booking Costs

A breakdown of costs is listed on each individual event page. Lightfoot Adventures also endeavour to list potential additional costs that may be necessary to the event but are separate to the booking. This may include, for example, accommodation, transport, equipment hire.

The price may be subject to change, for example through an increase in costs of a third party provider. If it is not possible for Lightfoot Adventures to absorb these costs then the additional fee will be passed onto the client. If this cost exceeds 8% of the original cost the client is entitled to cancel the booking, however a full refund may not be issued if unrecoverable costs have already been spent by LFA.

If additional costs occur during an event and they are unforeseeable and beyond the control of LFA then it is reasonable to assume that the client pays those costs.

If you do not pay the FULL price of the event before the stated due date your booking will be cancelled. Please see the Cancellation Policy and Refund Procedure if applicable.

Event Changes

While Lightfoot Adventures make every effort to plan events, there may be reasons to change an event or specific details within and offer a comparable alternative. Lightfoot Adventures will endeavour to remedy any change in accordance with the original booking. If these changes substantially change the original booking you may cancel and be entitled to an appropriate refund. If it becomes impossible or disproportionate to the original event then we reserve the right to cancel and return the cost of the event unless those changes are due to; the client; unforeseeable actions of a third party; unavoidable and extraordinary events.

Lightfoot Adventures will always aim to identify these changes well in advance of any event but cannot be held responsible for any additional costs that you may have incurred as a result.

While every reasonable effort will be made to run events as planned, Lightfoot Adventures reserves the right to make changes due to unforeseen or unavoidable actions of a third party, weather conditions, participant fitness or a result of risk assessments on the day. All participants should be aware that minor alterations to routes or timings may sometimes be necessary. No refund will be issued if you decide not to participate due to any of these reasons.

Normal Cancellation Process

Cancellation by Lightfoot Adventures

Whilst every attempt is made to ensure that planned events take place, Lightfoot Adventures will notify you of cancellation as soon as possible and the appropriate refund will be issued within 14 days. We cannot be held liable for additional costs you may have incurred (eg accommodation, transport), please see our guidance on insurance.

Lightfoot Adventures state a minimum number of people for an event to run (unless otherwise agreed) on each event booking form. If it does not meet the minimum then we reserve the right to cancel within twenty days for an event of over 6 days, seven days for any event between 2-6 days and 48 hours for any two day trip. A full refund will be given. We cannot be held liable for additional costs you may have incurred (eg accommodation, transport).

Cancellation by You

Booking cancellations must be made in writing or email. If you choose to cancel more than 28 days before an event takes place, we will refund you 50% on the total cost. If you cancel 28 days or less before an event takes place, no payment will be returned. We may offer credit towards future events in place of a refund.  

It may be possible to make changes to a booking on a case by case basis but fees may be incurred to cover additional or unrecoverable costs.

COVID-19 Cancellation Process

These are challenging and uncertain times for us all. As consumers we want to know that our bookings, and our money, are secure. As business owners we need to ensure our revenue while also keeping safe. Our cancellation policy will be a little different for bookings affected by Covid 19. We ask that anyone who has tested positive for Covid 19 or has good reason to believe that they have been exposed to it do not attend an event within 7 days of the test, onset of symptoms or potential exposure. If this means that you need to cancel your attendance we will move your funds onto another event on a suitable date. A refund may be given at Lightfoots discretion and only with proof of a positive test result.

Refund Procedure

All refunds will be made within 14 days.

Risks

Our events take place in the outdoors and in mountainous environments. There are risks involved in any outdoor activity, especially on rocky and uneven ground. By booking a course with Lightfoot Adventures you are accepting these risks and agree to submit Medical Declaration and Informed Consent forms after booking.

British Mountaineering Council Participation Statement

“The BMC recognises that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own involvement. By booking an event you are aware and accept these risks and will be responsible for your own actions and involvement. Lightfoot Adventures will teach you how to identify and manage these risks, but can never completely remove them.”

Insurance Recommendation 

Lightfoot Aventures strongly recommend you take out appropriate holiday or trip insurance to cover for unforeseen events that may affect or cause you to cancel your booking either before or during the event. The British Mountaineering Council offer very good insurance for outdoor activities and trips so please do consider this.

Lightfoot Adventures accepts no responsibility for loss or damage to personal possessions whilst you are attending an event.

Obligation To Provide Assistance

If you are in difficulty during an event then Lightfoot Adventures will be happy to give appropriate assistance without delay. This may include providing information on health services, consular assistance, communications, travel etc. Lightfoot Adventures may charge a reasonable fee if caused intentionally or through negligence of the client.

Health, Fitness & Accessibility Statement

Each event will detail fitness and experience level required to attend. We aim to be inclusive and encourage a willingness to explore, we also welcome all ages and abilities where possible. Lightfoot Adventures will aim to make reasonable adjustments to the delivery of an event to this end. There is a responsibility on the client to ensure that they are capable of participating safely and without detriment to the event and the enjoyment of other clients.

Right of Refusal Statement

Lightfoot Adventures reserves the right to refuse a person from participating in an event if the participant is not properly dressed, equipped or deemed not capable of participating. Lightfoot Adventures may refuse participation to those who may be under the influence of alcohol or drugs, or are exhibiting anti-social behaviour towards other participants or the leader or are judged unable to participate safely and/or fully . This right of refusal also includes participants who fail to disclose a medical condition or disability when booking, that may restrict their participation.

Lightfoot Adventures are not responsible for inconvenience or costs incurred as a result.

Complaints Process

If you are not satisfied with your experience, please let the leader know as soon as possible on the day of the event, or contact Lightfoot Adventures via email. Please submit any complaints within 28 days after the event.
